The Documents sub-tab lets you manage documents of a person. The document file list contains three columns for the names of the document files, an editable title and a Gedcom type. To enter or edit the title or to select a Gedcom type click in the field with the left mouse button.

Documents can be output on file cards, but not in person boxes. In addition they are transferred while Gedcom export and import.

Click the Add Document... button to add a document file to the document file list. Use the Remove Document button or press the Delete key while a document file is selected to remove it from the document file list. No confirmation query will be shown.

You can also drag document files (even several at once) from Windows Explorer directly into the document file list with the mouse. Some Windows 2000 users have reported problems with this.

Before selecting a document file, select the directory in which your document files are saved in the Program Options, Directories tab. The document files may be located in this directory or in a subdirectory.

The four up and down arrow buttons allow you to change the order of the documents. This only affects the order of output on file cards.

If you cannot see the entire text because the column is too narrow, hold the mouse over the line to display an information window that contains the complete text. You can also adjust the column width with the mouse.

With a double-click on a file name the file is opened in the standard program which was assigned to the file extension under Windows.

Document files can have an arbitrary extension. Image files are also possibly, for example scanned documents. Within the FamilyTreeFactory document files are managed separate from photo files automatically. At the Gedcom export and import both types are, however, transferred in OBJE tags. The Gedcom type must be used for the separation: Photo files of the formats bitmap (*.bmp) and JPEG (*.jpg) are managed by the FamilyTreeFactory with the Gedcom type Photo; on the other hand, document files must get another Gedcom type (Document, Text, Image, Graphic, Audio or Video). If a photo shall be managed as a document (like in the example above), then this shall be given the Gedcom type Image.

Note 1: The names of document files may be used only once even if the files lie in different subdirectories. The FamilyTreeFactory is looking for the document files in the main directory for document files and its subdirectories. If files with the same names lie in different subdirectories, there will be wrong search results because it is looked for only up to the first location.

 

Recommendation: Use a certain scheme for the names for person related files like [Surname] [Given name] [Year of Birth] [File content]. For example Samplefam John 1905 Birth certificate.pdf or Samplefam John 1905 Photo Enrollment 1911.jpg. The files of a person then are clearly directly behind each other in the Windows Explorer.

 

Warning: For the names of document files to be attached to archive PDF files automatically, only characters of the ASCII character set should be used. Details can be found in the section Creating Archive PDF Files.

 

Note 2: Under Windows 98 and ME document files can not be attached automatically to archive PDF files.
